The terms and conditions for booking with Creative Western Adventures Ltd. (referred to as Creative Western) are outlined below.
Information and Reservations
Based on our experience, numerous flights, hotels and packages are often booked up quite early. Reservations should therefore be made as far in advance as possible. Creative Western will gladly accept tentative bookings. Please contact us by:

Package price
If not otherwise stated, the rates are quoted in Canadian funds, per person and are based on double occupancy. Creative Western reserves the right to adjust prices according to changes in market conditions and as long as no deposit has been paid. A price increase of more than 10% on the originally booked package price, gives you the right to terminate the contract within 5 days of receiving our notification. In this case Creative Western will refund any previous payments.
Taxes
Accommodation taxes and provincial taxes are included in the rates. The Goods & Service Tax (GST) of 7% will be stated separately on our invoices.
Deposit & payment requirements
The required deposit is payable according to our invoice. The balance of the trip cost is due 60 days prior to your trip's departure. Delays in payment can result in difficulties regarding the execution of the arrangements booked.
Cancellations & refunds
Your deposit will be refunded, less CAD 150.00 for administration costs, if we are advised of your cancellation in writing more than 60 days prior to the trip's departure. For cancellations closer to the trip departure the following cancellation charges apply:
a) for guided adventure trips:
All adventure bookings are subject to the outfitter's own cancellation policies. You will be advised of the cancellation policy specific to your trip at time of booking.
b) for independent vacations:
- 59 - 45 days prior to departure: cancellation charge: 30% of package price
- 44 - 30 days prior to departure: cancellation charge: 50% of package price
- 29 - 15 days prior to departure: cancellation charge: 80% of package price
- 14 - 0 days prior to departure: cancellation charge: 100% of package price
Cancellation terms will be outlined in the group contract.
If you are unable to use the booked travel arrangements, a substitute is entitled to take your place, if that person is willing to take over the arrangements under the same conditions we had agreed on with you. This substitute and the original client are jointly responsible for the payment as well as any additionally occurring costs resulting from the substitution.
Trip cancellation insurance
We strongly recommend that you purchase cancellation and interruption insurance to protect your holiday investment. Ask for corresponding documents. We would be pleased to give you an objective consultation. The insurance premiums are always non-refundable.
Supplier’s liability
As an experienced tour operator we assure you a professional organization of your trip and a careful choosing and controlling of suppliers (airlines, cruise lines, transportation, hotels, lodges, outfitters etc.).We are liable to carry out all travel arrangements that were agreed upon, taking into consideration our General Terms and Conditions.
Due to practical reasons we would like to mention, that although great care is taken in choosing our independent suppliers, we are unable to directly control them during the whole duration of the trip. Creative Western cannot be held responsible or liable for changes of the itinerary caused by acts of God, governmental measures, strikes, delay of a plane or delay of a third party, that cannot be influenced by us.
Possible tour alterations
Creative Western reserves the right to cancel, modify or alter, all or any part of the travel service when necessary or advisable. In the event of such a change, Creative Western shall endeavor to substitute comparable services in order to maintain the purpose and the character of the trip.
Discrepancies in service
In the unlikely event that you experience a problem during your trip, please immediately inform Creative Western, your tour guide or the outfitter. This is a necessary requirement for a possible settlement of a refund. Furthermore it enables us in most cases to instantly find a satisfactory solution to the problem occurred. A claim for compensation has to be sent in writing to Creative Western within one month of completion of your trip. If you do not comply with these conditions a right of compensation automatically expires.
